These Terms & Conditions apply to Garage Receptionist services supplied by Cartcom / UKGB.ai to business customers in the UK. By placing an order, paying an invoice, or using the service, you agree to these terms.

1. Service Scope

Garage Receptionist provides AI-powered telephone answering, lead capture, booking support, message routing, dashboard reporting, and optional related integrations for garages, workshops, mobile mechanics, and similar trade businesses.

2. Plan Pricing

  • Starter: £159 per month plus £249 setup.
  • Professional: £279 per month plus £499 setup.
  • Premium: £449 per month plus £899 setup.
  • Quoted custom work, integration work, or multi-site work may be charged separately.

3. Included Usage

  • Each plan includes a level of call-handling capacity suited to its intended customer type and normal monthly usage profile.
  • Starter is intended for lighter daily call volume, Professional for busier workshop demand, and Premium for higher-volume or more complex operations.
  • Where usage materially exceeds the normal level for the selected package, we may recommend or apply a higher-capacity package from the next billing cycle.

4. Additional Usage And Capacity

  • If your usage consistently exceeds the included allowance for your plan, we may recommend or apply a higher-capacity package from the next billing cycle.
  • Where additional call handling capacity is requested beyond the standard plan, this may be billed through an agreed monthly package, add-on, or revised plan.
  • Any unusual third-party routing, messaging, verification, or carrier costs required specifically for your service may be billed separately if agreed.

5. Setup and Onboarding

Setup includes discovery, configuration, prompt tuning, testing, lead routing, and go-live support for the selected plan. Setup begins once onboarding information is supplied and is non-refundable once configuration work has started.

6. Telephone Routing and Numbers

  • One standard business divert number or agreed routing setup is included with the main subscription unless otherwise agreed.
  • Additional phone numbers, premium numbers, number porting, messaging usage, or specialist routing charges may be billed separately where required for your service.
  • If you use your own phone or telecom provider, you remain responsible for those carrier charges directly.

7. Optional Reporting and Hosted Services

  • Private reporting dashboards, hosted live feeds, webhook routing, or other enhanced hosted components may be quoted separately where required.
  • Dedicated hosting, backups, monitoring, or managed infrastructure work may be quoted separately where needed for your setup.

8. Billing and Payment

  • Monthly fees are billed in advance.
  • Agreed additional usage packages and pass-through third-party charges are billed in arrears or added to the next invoice.
  • Invoices are due on receipt unless different credit terms are agreed in writing.
  • Late payment may result in suspension of AI call answering, telephony routing, dashboards, or integrations.

9. Customer Responsibilities

  • You must provide accurate business details, hours, service rules, escalation contacts, and lawful call handling instructions.
  • You are responsible for reviewing leads, following up customers, and keeping any linked calendars, CRMs, or inboxes accessible.
  • You must not use the service for unlawful, misleading, abusive, or emergency-call use cases.

10. Performance and Availability

The service is provided on a commercially reasonable basis. Because the service depends on third-party providers such as telephony, AI, SMS, email, and hosting providers, uninterrupted availability cannot be guaranteed.

11. Data and Recordings

Call data, lead data, transcripts, and dashboard events may be processed to operate and improve the service. Where recordings or transcripts are enabled, you are responsible for ensuring your own caller notices and compliance obligations are met.

12. Cancellation

  • Subscriptions renew monthly unless cancelled.
  • Either party may cancel on 30 days' notice unless a longer term has been agreed.
  • Any committed setup, bespoke build work, telephony costs, or hosting already incurred remain payable.

13. Liability

To the fullest extent allowed by law, Garage Receptionist is not liable for indirect loss, loss of profit, missed bookings, loss caused by incorrect customer-provided information, or outages from third-party suppliers. Total liability is limited to the fees paid in the preceding three months for the affected service.
